What non-profit discounts are actually available?

Microsoft offers substantial non-profit pricing, and eligible organisations can receive a number of Microsoft 365 Business Premium licences at no cost, with additional seats heavily discounted. Google and many other vendors run comparable programmes, and TechSoup aggregates donated software from a range of providers.

Eligibility rules and allocations change, so we verify current terms as part of onboarding rather than promising a specific figure up front. For many organisations the saving offsets a meaningful portion of managed IT cost.

Does FERPA apply to us?

FERPA applies to educational institutions receiving US Department of Education funding. Many private schools are not directly covered, but often adopt equivalent practices because families expect it and other obligations overlap.

Whether or not it applies formally, the controls are the same: restrict who can see student records, log access, and retain deliberately rather than indefinitely.

How do you handle volunteers who come and go?

Time-bound accounts with an expiry date set at creation. If the volunteer is still active, the date gets extended; if not, access ends automatically without anyone needing to notice.

This solves the most common access problem in the sector, which is a long tail of live accounts belonging to people who stopped participating years ago.

We have almost no budget. Where should we start?

Three things, roughly in order: enable MFA everywhere, get non-profit licensing applied so you stop paying commercial rates, and establish one tested offsite backup.

Those three cover the majority of realistic risk at very little cost. We are happy to point you through them even if managed service is not affordable right now.

Can you support our donor or student information system?

We support the infrastructure, identity, and access layer those systems depend on, and coordinate with the vendor on application issues.
